CollaborateMD (CMD) in conjunction with EPOWERDoc (EPD) has built an Heath Level Seven (HL7) unidirectional interface that sends patient demographic messages from CMD to EPD.   In healthcare, electronic medical records can be the driving force behind an efficient and well-managed emergency department.  EPD offers a comprehensive suite of Emergency Department documentation systems that provide efficient and comprehensive  electronic medical record solutions.


Request an EPOWERdoc Interface Integration

The EPD custom interface can be requested by contacting the CMD Accounting Department (Telephone: 888.348.8457, Option 3 or via email at Accounting@CollaborateMD.com). The Accounting Department submits a request on the customer's behalf to integrate the interface.  The integration and test activities performed by CMD and EPD takes approximately 7 to 14 business days to complete.  Once these activities are successfully completed, a EPD representative partners with CMD and the customer to establish a go live date for the interface.  Once the interface is live, EPD partners with the customer to monitor and ensure the success of the interface with CMD support.


Workflow

Once the interface is live, a CMD user can register a patient (for a new visit) by entering their (new or updated) patient demographics coupled with a unique "Visit ID" using the Hot Key Keyboard Macro (Windows (logo) Key + r; see Figure 1 below).  After the patient is saved, a message containing the patient demographics and unique "Visit ID" is sent over the interface for processing.  The Hot Key keyboard macro is a Windows keyboard shortcut used to insert a unique patient visit identifier into the "Visit ID" field located within the patient screen (see Figure 2).  The unique "Visit ID" is a system time stamp in military date and time format (YYYYMMDDHHMMSS; e.g: 20160903143506; September 3, 2016 at 2:35:06 pm).  CMD Macintosh users are required to manually enter the system time stamp in the required military format ((YYYYMMDDHHMMSS) within the "Visit ID" field before saving the patient record.

The "Visit ID" field (see Figure 2) within the patient window is only visible if the customer's account has an active interface.

Download the Hot Key Keyboard Macro

The customer's Information Technology (IT) Department is responsible for installing the Hot Key keyboard macro.  The Hot Key Keyboard Macro can be downloaded < HotKey Keyboard Macro.zip > and unzipped for installation on all Personal Computer (PC) assets within the environment.  The Hot Key keyboard macros will need to be installed on all PCs required to admit a patient using the CMD Application.  The Hot Key keyboard macro should be installed to run automatically at system startup (and also capable of being restarted by the user as needed). A typical installation is stored within the Start > All Programs > Hot Key folder location on the PC.  However, a user should consult with their IT Department on the specific installation of the Hot Key on their PC.  If the Hot Key keyboard macro is installed and running on the PC, its icon will be displayed in the bottom right hand corner of the task bar.  If the icon is not visible, the user should immediately contact their IT Department for assistance with properly configuring the Hot Key keyboard macro for their PC.  To use the Hot Key keyboard macro, the user will press the key combination “Windows (logo) Key + r” (see Figure 1 above).  The Hot Key keyboard macro will automatically insert the time stamp in military format (YYYYMMDDHHMMSS) wherever the cursor is currently located. Therefore, it is important to have the cursor in the proper field (Visit ID) before using the Hot Key keyboard macro.


Visit and Patient Scenarios

Scenario 1: Any time you are admitting a new patient into CollaborateMD.

  1. After you get all of the patient information inputted you will need to place the cursor in the "Visit ID" field and then press the key combination “Windows (logo) Key + r”.  

    If the Visit ID does not populate, please partner with the appropriate person at the facility (e.g. IT Team, etc) to ensure the Hot Key keyboard macro is properly installed.

  2. After the user clicks the Save button, the patient data will be sent over the interface. 

Scenario 2: Making changes to a patient that is still on site (pertaining to the same visit).

  1. Update any needed information in the patient record and DO NOT use the Hot Key keyboard macro to update the “Visit ID" field (as the patient is still on site for the same visit).

  2. After the user clicks the Save button, the patient data will be sent over the interface. 

Scenario 3: Any time you are assisting a returning patient.

  1. Regardless of whether the patient is returning for the same complaint or a new one, place the cursor in the "Visit ID" field and update the visit id by pressing the key combination “Windows (logo) Key + r”. 

  2. After the user clicks the Save button, the patient data will be sent over the interface.


Troubleshooting

A user can troubleshoot the interface by creating (or using) a test patient within their CMD application.

  1. Find the test patient with the patient section and enter the patient's "Visit ID" using the Hot Key keyboard macro.  

    If the Visit ID does not populate, please verify that the interface is active. If the interface is active, please partner with the appropriate person at the facility (e.g. IT Team, etc) to ensure the Hot Key keyboard macro is properly installed.

  2. Next, save the patient's record to send a message containing the patient demographics (inclusive of the Visit ID) over to EPD for processing.  

  3. The user should then log into EPD and verify the receipt of the message sent from CMD.  

  4. In the event a message is not received, the user can contact the applicable support team for additional help troubleshooting the interface.
