Request a 835/837 File Delivery

In the event you are working with a third party that requires the review of the ANSI, you can request the raw data of 835 (ERA) and/or 837 (claim) file delivery. An individual 835 remittance file or individual 837 claim file can be requested per submitter number.

Review of ANSI requires knowledge on how to review the loop and segments in the files. CollaborateMD does not provide companion guides for explanation of loops and segments.  Please allow 7-15 business days from receipt of payment to process your online request. 


  • 835 Files: None. 
  • 837 Files: CollaborateMD can only provide claim files from December 2010 to PRESENT. If a claim file(s) is required PRIOR to December 2010, CollaborateMD will be required to submit a request to the Clearinghouse on your behalf to obtain a quote for retrieving the claim file(s) from their archives. All costs associated with the Clearinghouse retrieving the requested file(s) from their archives are the sole responsibility of the company / individual submitting the request(s). 

How Is The Data Transferred?

Files provided are generally opened in notepad. There are two options the data associated with a claim file can be securely transferred: 

  • Upload: We'll write the data to a Secure File Transfer Protocol (SFTP) site with a Public Key Authentication (PKA) from CollaborateMD to the specified recipient. 
  • Mail: This option is available as a one-time media request. Additional requests will incur additional media and shipping fees. The files will be written to an encrypted media device. The encrypted media device will be sent via standard United States Postal Service (USPS) mail and include tracking. Prices are subject to change based on market fluctuations. Upon receiving your request, you will be contacted by within 1 - 2 business days with a total cost to perform your request.

  1. Select Account Administration > Services.
  2. Click the Request button next to 835/837 File Delivery.

  3. Use the Customer drop-down menu to select the customer you wish to access. 

  4. Use the Submitter ID(s) drop-down menu to select which submitters you wish to request the files for.

  5. Use the File Type drop-down menu to select which files you are requesting.

  6. Select whether you would like to receive the file(s) as a One Time Request or Daily Reoccuring .

    1. If One-Time Request, populate the Received Dates for those files.

  7. Use the Delivery Method drop-down menu to select how you would like to receive the files.

    1. Upload: Enter in the contact information for the person we can contact about setting up the file upload 

    2. Mail

  8. Click Submit.
