Settings: Select the icon to configure your personal default appointment settings such as your appointment time slot view, the start and end time of the appointment view, and enable features such as allowing appointments to be overbooked, and booking appointments during unavailable times. Please note features such as hiding unavailable resources and showing a separate legend for times for each resource do not apply to the mobile view and these settings only apply to the customer you’re currently logged into.
Filters: Select the icon to constrain the view of the appointments and blocks. Select the filters you want to see/deselect the filters you DO NOT want to see. For example, if you don't want to see appointments that have been canceled, expand the Status filter and select all of the appointment statuses you wish to see with the exception of Canceled. You can filter your calendar view by resource, practice, provider, office, facility, appointment type, and status.
Calendar Widget: Select the Calendar widget to view the schedule for a particular date. To go to a specific month or year, simply use the previous “<” and next “>” icons or select the Month and Year to expand your selections.
New: Select this icon to perform actions such as creating a new appointment, appointment block, and a new patient.
Resource / Department View: Click on this drop-down menu to view appointments for a specific Department or Resource.
Daily Calendar View: The appointment view displays the names of patients who have an appointment for the selected date, department, and resource. Note: Mobile devices only display one department and resource at a time.
Appointments can only be scheduled for existing patients. If the patient doesn’t exist, see Create a New Patient for instructions on how to create a patient. Once the patient is created, you can then schedule the appointment.
Follow the steps below to schedule an appointment with an existing patient.
Click on the Scheduler icon.
Select the icon and then select New Appointment.
When the window opens, click Select a patient.
Next, enter the patient's name and then click Search.
Select the patient's name and click Done.
Enter the appointment details such as the date & time, appointment type, resource, office, facility, frequency, chief complaint, and any comments.
Once the appointment details are set, click Save.
Follow the steps below to delete an appointment or make changes to an existing appointment date, time, type, length, etc.
Locate the appointment in the Scheduler section, using the Calendar widget.
Once the appointments are displayed, click on the appointment you wish to edit.
When the appointment opens, select Edit to make your changes
Creating an appointment block allows you to block out a length of time on your calendar, preventing staff from scheduling appointments within that time frame. Appointment Blocks can also be used to block out time for office closures, prep time, meetings, vacations, sick leave, etc. Please note appointments can be created if the Allow appt. to overbook option is enabled within the Configuration Settings.
Important Note: Prior to creating the block, please create an Appointment Type within CollaborateMD that describes what the block is. For example, "LUNCH" or "MEETING".
Follow the steps below to create an appointment block.
Click on the Navigation Menu icon and select Scheduler.
Click the Add button and select Add Block.
Enter the appointment block details.
Follow the steps below to easily delete or cancel an appointment if it's no longer needed.
Using the Calendar widget, select the date the appointment is scheduled for.
If applicable, click on the drop-down menu to find the Resource/Department the appointment is scheduled under.
Select the appointment and click Edit.
Select Status > Deleted.
